We are seeking an experienced and highly organised Executive Assistant to support one of our Co-CEOs and the Seed Heritage Creative Director. This pivotal role ensures seamless daily operations and effective time management, while maintaining professional communication across internal teams and external stakeholders.
Reporting directly to the Co‐CEO, you will provide high‐level administrative support, manage complex calendars, coordinate meetings, and oversee confidential documentation. You will also support budgeting processes, track departmental spend, and assist with travel and event coordination. This is a fast‐paced role requiring discretion, initiative, and exceptional organisational skills.
THE ROLE
* Manage diaries, schedule meetings, and prioritise appointments for the Co‐CEO and Seed Creative Director.
* Draft and prepare reports, presentations, and communications.
* Maintain confidential records and follow up on meeting actions.
* Oversee Concur expense management for executives and leadership team.
* Organise store/warehouse visits and act as a gatekeeper for executive time.
* Assist with budget consolidation, tracking, and reporting.
* Partner with Finance on accruals, forecasting, and reconciliations.
* Coordinate domestic and international travel, tracking costs and identifying efficiencies.
* Plan and manage executive events, ensuring budgets and communications are handled professionally.
THE IDEAL CANDIDATE
* Minimum 5 years' experience as an Executive Assistant to senior executives.
* Retail industry experience preferred but not essential.
* Tertiary qualification in business management or equivalent is highly desirable.
* Proficient in Microsoft Office Suite and other relevant applications.
* Exceptional attention to detail, time management, and organisational skills.
* Professional communication skills, both written and verbal.
* Ability to handle sensitive information with discretion and confidentiality.
* Demonstrated initiative and ability to work independently in a fast‐paced environment.
