Executive Assistant

Docklands, Australia

Reference:

* Use your high-level administration support and executive assistant skills to support TWO Executive Directors.
* Full Time (1.0 FTE), Maximum Term role until 30 April 2026, start in Jan
* Remuneration: $73,605.21 - $88,997.93 + 12% superannuation
* Generous NFP salary packaging options up to $18,550.
* Location - 737 Bourke Street, Docklands Victoria 3008, Close to Southern Cross Train Station, Hybrid; WFH (2 days)

About the role

You will use your high-level administration skills to support two executive directors. This includes diary management, responding and re‑directing external and internal enquiries, assist in the delivery of system improvements and provide support across other relevant programs and activities throughout the business.

You will also support the coordination and information sharing of administration processes to ensure leaders are able to deliver on key priorities across a complex health service environment.

* Increasing the efficiency and effectiveness of services for community members, particularly those at risk of poor health outcomes

* Provide high‑level administrative support to two Executive Directors, to ensure they are focused on their priorities and demanding work schedules
* Manage complex calendar and scheduling requirements, depending relevant priorities and deadlines
* Be a point of contact for two Executive Directors and manage enquiries from internal and external stakeholders in a professional manner
* Coordinating numerous regular strategic meetings and events, collating papers, taking confidential minutes and following up on actions
* Relevant business/management or related qualifications and/or equivalent experience
* 3-5 years experience in providing high‑level assistance at a Senior Executive level
* Well‑developed verbal, written communication and excellent organisational / project management skills
* Ability to work independently, prioritise work and demonstrate initiative and a business improvement mindset
* Advanced Microsoft Office skills including understanding of SharePoint
* Maintaining excellent standards of service in a high‑pressure work environment demonstrating confidentiality, tact, judgement and discretion at all times
