Job Role: Conveyancing Admin Assistant
Work Schedule: 9:00 AM - 5:00 PM AEST/AEDT
Compensation range: $1,200 AUD - $1,500 AUD / Monthly

Who The Client Is: It is an established conveyancing firm that facilitates the legal side of property transactions across Victoria, handling both metropolitan and regional matters with a practical and client-focused approach. Led by a director with a strong background in both conveyancing and banking operations, the company brings a well-rounded understanding of lending requirements and the end-to-end settlement process. The team works with a focus on accuracy, efficiency, and clear communication, using modern digital systems while maintaining high compliance standards to ensure each transaction is managed smoothly from start to finish.
Role Overview
We are seeking a Conveyancing Administrative Assistant to provide end-to-end administrative and transactional support within an Australian conveyancing team. The role involves assisting with documentation, client communication, file management, and settlement coordination, ensuring smooth and accurate processing of property transactions in line with compliance and deadlines.
Key Responsibilities
* Provide administrative support to the conveyancing team across all stages of property transactions
* Assist in preparing, reviewing, and managing conveyancing documentation with high accuracy and attention to detail while maintaining speed of delivery
* Support end-to-end transaction flow, ensuring all required steps are completed in line with Australian conveyancing processes
* Maintain and update client records, files, and systems in accordance with strict compliance requirements
* Communicate confidently with clients, solicitors, banks, and relevant stakeholders to provide updates and gather required information
* Manage document handling, filing, and coordination of settlement-related tasks
* Ensure deadlines are met and all processes are completed accurately and efficiently
* Support the team in maintaining compliance with internal policies and regulatory requirements
Hiring Experience
* 2–5 years of experience supporting an Australian conveyancing firm or working in property transactions/settlements
* Experience supporting conveyancing processes across pre-settlement and settlement stages
* Experience with conveyancing practice management systems such as Smokeball and TriConvey is highly desirable
* Knowledge with PEXA or any electronic property settlement platform for managing settlements and transactions
* Experience with Duties Online or any relevant state-based stamp duty portal for lodgements and processingFamiliarity with systems such as ApplyOnline, Simpology, Loanworks, etc.
* Confident and professional communication skills (written and verbal)
* Fast and accurate work style with the ability to manage time-sensitive tasks
* Strong awareness of compliance requirements in a regulated environment
* Able to work independently while maintaining communication with the team
* Reliable, detail-oriented, and committed to a long-term role
