Summary of Job:
The Administration Officer provides front-office and general administrative support to the GM and other functions of the business. This includes visitor management, coordination of meetings and events, handling communications, and overseeing office operations. The role also covers facilities coordination and providing basic IT support to staff to ensure smooth day‑to‑day business operations.
Key Accountabilities:
* Provide administrative support and manage communications for the GM and other business functions
* Coordinate calendars, meetings, travel, and events
* Handle confidential information with discretion and act as a trusted liaison
* Manage office supplies, visitor management, incoming calls and general office operations
* Coordinate facilities maintenance and escort contractors
* Provide basic IT support for staff, including account setup and troubleshooting
* Support customer service and sales administration tasks such as order processing and invoicing
* Assist with finance administration including supplier invoice processing and expense reconciliation
Qualifications:
* Minimum Certificate IV in Business (or equivalent qualification) would be advantageous
Work Experience:
* Minimum 3+ years' administration support experience
Suitability:
* Solid computer literacy and data entry skills - proficient with current Microsoft office
* Intermediate – Advanced Microsoft Excel skills
* Strong verbal and written communication ability
* Good understanding of accounting processes & principles (advantageous)
* Knowledge of ERP system (QAD or SAP is an advantage)
* Team Player with confidence to work on your own initiative.
* Willingness to accept responsibility for assigned tasks and assist others.
Eligibility:
* Must be an Australian Citizen and can obtain and maintain an Australian security clearance
* Must satisfy police checks and employment screening verification including employment reference checks
* Must be able to access information controlled under the US International Traffic of Arms Regulation (ITAR) which in some circumstances can place limitations on persons who hold dual nationality, permanent residency or are former nationals of certain countries as per ITAR 126.1
