The Executive Office plays a pivotal role in enabling the organisation's mission and supporting its leadership team. This role is based in Melbourne, operating in a hybrid model (3 days in office, 2 from home).
The Role
Supporting three Directors, the Executive Assistant will provide high-level administrative, logistical, and operational support to ensure seamless functioning of daily activities across multiple portfolios. This is a fast-paced, highly visible role that requires exceptional organisation, judgement, and professionalism. You'll partner closely with the Executive Office and senior leaders, ensuring strong governance processes, accurate documentation, and excellent communication flow. The role is suited to someone who thrives on variety, handles competing priorities with ease, and enjoys building strong, collaborative relationships at all levels.
Executive Support
Provide comprehensive diary management, travel coordination, meeting logistics, and correspondence support for three Directors.
Draft reports, presentations, briefing documents, and general correspondence.
Support the implementation and continual improvement of administrative systems and processes.
Assist Directors with the management of confidential, time-sensitive, and priority issues.
Coordinate events and internal activities.
Maintain strict confidentiality and ensure secure handling of sensitive material.
Governance & Leadership Support
Work with Directors and the Executive Office to prepare agendas, papers, minutes, and action logs for Leadership and Board-related meetings.
Document and distribute accurate meeting notes and track follow-ups.
Collaborate with the Executive Office team to ensure consistency, coverage, and cross-training.
Build strong relationships across the Executive and National Leadership teams.
General Office Management
Provide general office administration including enquiries, reception (where required), and day-to-day operational support.
Manage archiving, secure disposal of sensitive documents, and mail distribution.
Ensure adequate supplies and smooth functioning of the office environment.
Maintain positive engagement with internal staff, contractors, and external stakeholders.

The Successful Candidate
You are an experienced Executive Assistant who brings strong organisational capability, maturity, and a solutions-focused mindset. You're comfortable supporting multiple leaders, navigating competing priorities, and operating with discretion at all times.
Key skills and experience include:
Minimum 5 years' experience in a comparable EA role supporting senior leaders or Boards.
Strong proficiency across Microsoft Office (Word, PowerPoint, Excel, Outlook) and administrative systems.
Demonstrated ability to manage complex diaries, meetings, governance processes, and documentation.
Excellent written and verbal communication skills, with ability to engage effectively across diverse stakeholder groups.
High attention to detail, strong problem-solving skills, and the ability to work under pressure.
A proactive, self-directed approach with the ability to work both autonomously and as part of a wider team.
Demonstrated integrity, sound judgement, and an unwavering commitment to confidentiality.
