Located in our Melbourne office, we are looking for a Guest Services Concierge & Executive Assistant to join our Agency Support team. Due to the nature of this role, it requires someone to be in office 5 days a week.
Who do I work with?
Inside the building, you’ll essentially work with everyone! That’s the best part. This is a very people-centric role and will require someone who is very comfortable working and collaborating with all our departments and teams. More specifically, you’ll work directly with our Agency Support team, including operations and finance.
You will focus on building strong rapport with all the people you work with.
What are my responsibilities?
* Liaise with the Sydney Guest Services Concierge to manage travel needs for the Melbourne Managing Director.
* Manage a busy and ever-changing calendar, with the ability to prioritise effectively.
* Assist in logging monthly expenses and timesheet records.
* Manage confidential files and matters with discretion.
Reception and Office Coordination:
* Create a brilliant first impression as you welcome all guests to the office.
* Be the “go-to” person for all incoming office related queries.
* Manage a busy and ever-changing calendar of meeting room bookings, with the ability to troubleshoot IT set-up for meetings if required.
* Organise all catering requirements for internal and external meetings, ensuring rooms are set-up with water when required. You will also be required to take coffee and tea orders.
* Manage the day-to-day running of the office, ensuring it is always kept clean and tidy.
* Manage relationships with external service providers, such as cleaners and maintenance personnel.
* Order and maintain office supplies, including stationery and groceries.
* Book and manage couriers for internal purposes and client requests.
People and Culture Support:
* Assist with H+Co’s Reconciliation Action Plan (RAP) deliverables.
* Support the Executive Assistant and Sydney Guest Services Concierge with bringing agency social and wellbeing initiatives from an idea to reality.
* Manage the onboarding process from start to finish, including asset purchasing, desk and swipe pass allocation / set up, and ensuring IT is ready to go.
* Manage our Lunch and Learn sessions by organising speakers and the L+L calendar, ensuring hosts are prompted and ready to go for their sessions.
How will I know if I am doing it well?
* You provide a professional and welcoming reception service to all visitors and clients.
* You will be able to manage a variety of tasks at any given time, in agency, office and P&C support.
* You are highly organised and can complete tasks autonomously and in a timely manner or to deadlines, with great attention to detail.
* You have a good grasp of an agency environment and understand the impacts of each task.
* You have positive working relationships with internal and external stakeholders.
* You are able to report and communicate regularly with the Executive Assistant and Head of People & Culture with status updates.
* You are solution-orientated and can quickly adapt when new tasks take precedence or when competing priorities need to be managed.
* As this role will mean you have access to confidential information, you will exercise discretion when necessary.
* You will play a key role in advocating and championing our social, DE&I, wellbeing and L&D initiatives.
