An exciting opportunity waits for an experienced c-suite Executive Assistant to join the executive business support team assisting the Deputy Chief Operations Officer/Executive Director Community Operations (DCEO/COO/EDCoO) and the Director Quality & Safety (DQS).
Reporting to the EDCoO and the DQS executives, you will be responsible for providing professional, timely and accurate administrative support to the Executive Team, and the Senior Leadership Team (SLT) of Central Highlands Rural Health (CHRH).
**Key Responsibilities;**
- Be responsive to all external stakeholders who contact the executive and SLT teams
- Promote a quality culture within the organisation, highlighting the values of customer service
- Proactively seek out initiatives to improve the efficiency and effectiveness of the department
- Prepare correspondence, monthly reports, agendas, presentations and general documents
- Maintain an electronic diary for the EDCoO and DQS, bringing to her/his attention newly arranged meetings and providing preparation information whenever possible
- Prepare and manage meeting and event requirements including recording, collating and distribution of meeting minutes, and follow up of actions arising
- Follow up requests for submissions or information from the EDCoO and DQS to ensure that they meet their obligations
- Involvement in specific projects as instructed
- Act as Secretariat for committee or reference groups as directed
- Extensive experience in office administration and/or an Executive Assistant role
- Excellent written and verbal communication skills
- Ability to develop and maintain both internal and external relationships
- Excellent time management and organisational skills, with the ability to prioritise workflow
- Ability to work effectively both autonomously and within a team environment
- High level computer skills with intermediate to advanced skills in Microsoft Office, including Word, PowerPoint and Excel, and accurate word processing
- Experience in diary and meeting management including venue booking, agenda formulation, minute taking and distribution of papers
- Experience in preparing briefing papers, memos and general correspondence
**Preferred**
- Exposure to working in a Health organisation
- Previous participation in project work
**_ Details of Appointment_**
Permanent full-time position working 80 hours per fortnight including and ADO each 4 weeks
Based at Daylesford Campus
**Salary**: $42.34 Per hour + 11% superannuation + access to salary packaging
